Invoicing

Invoices and credit notes for your shops' orders in your SuperFaktúra account: connecting the account, automatic issuing, delivery to the customer and the Invoices card on the order detail.

Monokaido issues invoices and credit notes for your shops' orders in your own SuperFaktúra account — so the documents are where your accountant sees them too, with your numbering and your logo. The connection and the settings are in E-commerce → Invoicing (Opens in a new tab). Only an administrator can change them; everyone else sees the current state.

SuperFaktúra

Connecting a SuperFaktúra account

  1. Find the API credentials

In SuperFaktúra open Tools → API access. You need the API e-mail and the API key. When one account holds several companies, also copy the company ID the invoices are issued for.

  2. Choose the account's country

Slovakia (moja.superfaktura.sk), Czechia, Austria — or a test account (sandbox) if you want to try everything first.

  3. Paste the credentials and save

Monokaido checks them with SuperFaktúra before storing them. The Connection card then shows the account's name and registration number (IČO). The API key is stored encrypted and never shown again — leave the field empty when you change the other details. A new connection issues nothing by itself: automatic issuing and credit notes stay off until you switch them on in the settings.

The Invoicing on switch stops issuing and sending documents and hides the Invoices card from the orders; the credentials stay stored. Disconnect deletes the stored key and the invoicing settings — after you connect again, automation stays off until you switch it on. When you already have documents of an earlier connection, the whole of invoicing stays off after you connect again: check the settings first (above all "Mark the invoice as paid" and the delivery), then switch it on. Another SuperFaktúra account cannot be connected while we are still checking whether the original account issued a document — connect the original account then. Documents issued in SuperFaktúra always stay there.

Invoicing settings

SettingWhat it doesNote
Issue the invoice on paymentThe invoice is issued once the order is paid by card, bank transfer or any other payment.
Or when the order reaches the statusShipped or Delivered — typically for cash on delivery, paid on receipt. With both, the invoice is issued by whichever comes first.
Mark the invoice as paidA paid order's invoice is marked as paid in SuperFaktúra — when it is issued, or when the customer pays later — and a refunded order's credit note as paid out.Off: even a paid order's invoice is issued unpaid, and a credit note records no payment or mutual offset — you record payments in SuperFaktúra yourself. With automatic delivery the customer gets such an invoice at once, showing the amount due and the due date; to record the payment first, choose “Do not send automatically” and send the invoice from the order.
Issue a credit note on cancellation or refundA cancelled or refunded order with an invoice gets a credit note for the full amount. If the order was never paid and "Mark the invoice as paid" is on, the credit note and the invoice settle each other (mutual offset). Issue a partial credit note directly in SuperFaktúra.
How the document reaches the customerIn your shop's e-mail with the PDF attached, in an e-mail from SuperFaktúra, or not at all (you send it from the order).Edit the shop e-mail's text in E-mail templates ("Faktúra k objednávke", "Dobropis k objednávke").
Document languageThe order's language, or always one language.
Due inDays until an unpaid invoice is due.
Variable symbolThe order number or the invoice number.
Issued byThe name shown on the document.Empty = SuperFaktúra's own.
Invoice / credit note number sequenceThe number sequences of your SuperFaktúra account.Default = the one set as default in SuperFaktúra.
One-Stop-Shop (OSS)A document for a consumer (no VAT ID) in another EU member state is marked OSS.Switch it on when you charge those countries' VAT through OSS.
Payment and delivery typesThe payment type and the delivery method on the document, per payment and shipping method.Otherwise Monokaido derives them from the method.

The Invoices card on the order detail

While invoicing is on, every order has an Invoices card on the order detail: the invoice and the credit notes with their number, amount, payment and delivery state.

ActionWhen it is offered
Issue invoiceThe order has no invoice yet and is neither cancelled nor refunded (a split order: not every part of it is cancelled).
PDFDownloads the issued document.
Open in SuperFaktúraOpens the document in your SuperFaktúra account.
Send to customer / Send againSends the issued document to the address you confirm. While the document's e-mail is on its way, a second one cannot be sent.
Issue credit noteThe issued invoice has no credit note yet.
Try againA step failed (e.g. SuperFaktúra refused the document) — the reason is right below the document. An e-mail whose outcome never came back is not sent again by this button — send it with Send again.
DismissA document that never reached SuperFaktúra. It is not issued automatically again.
DetachA document issued in another SuperFaktúra account than the one connected now (e.g. the test account). It stays there; then issue the invoice in the current account by hand.

When the connection breaks off while a document is being issued, it shows Being verified and the time Monokaido checks in SuperFaktúra whether it was created. When the check itself does not succeed yet, the card says so as a warning — do not issue the document by hand then either; the checks go on. The card names the moment the invoice will be issued — or that it will not be issued automatically, for a cancelled order or an order whose every enabled trigger (payment and the chosen status) happened before automation was switched on. A split order is judged as a whole: it is cancelled only once every part of it is, and its invoice covers only the parts that are not.

When a document cannot be issued or sent even after repeated attempts, when SuperFaktúra issues it with a different total than the order's, or when we cannot confirm that a document was created or that its e-mail went out, the bell in the application header rings with a link to the order. These alarms have a switch of their own in Settings → Notifications ("SuperFaktúra invoices"), so muting new-order alerts does not silence them.

A document issued with a different total stays issued, but it is not sent to the customer and does not show in their shop account. Check it in SuperFaktúra and send it with Send to customer — only then does the customer receive and see it.

What the customer sees

Depending on the delivery setting, the customer receives an e-mail with the invoice as a PDF (the card says "being sent" until the e-mail is out). A customer with an account in the shop can also download the documents on their order's detail in the account.

Good to know

  • Daily API limit. Every SuperFaktúra account has a daily request limit (by plan, for example 1,000). One document takes a few requests. When the limit is used up, documents wait until it resets — nothing is lost; the Connection card shows how many requests are left.
  • Never an invoice twice. When the connection to SuperFaktúra breaks in the middle of issuing, Monokaido does not issue the document again blindly — it first checks in SuperFaktúra whether it was created, and issues it again only once it is certain it was not. When repeated checks still cannot tell, the bell rings: do not issue such an invoice by hand — check it in SuperFaktúra (the checks go on).
  • An e-mail whose outcome never came back. When we do not learn within 6 hours whether the document's e-mail went out (ours or SuperFaktúra's), the card says "not confirmed — it may have gone out" and the bell rings. It is not sent again by itself — nor by Try again; if the customer did not receive it, send it with Send again and confirm the address.
  • The buyer's VAT ID. The invoice carries the VAT ID a company entered at checkout — a domestic one too (the shop stores it with every company order since 29 October 2026; for a VAT-exempt purchase it is the verified number) —, and also a tax ID with another EU country's prefix that the customer typed into the DIČ field (e.g. a Czech DIČ or an Austrian UID) — that one is not verified. Older orders carry no domestic VAT ID — add it in SuperFaktúra where needed.
  • Switching the account. Every document remembers the SuperFaktúra account it was issued in. After a switch (test account → live) the old documents stay on the orders as a record; Monokaido no longer marks them paid, sends or credits them.
  • Changes in SuperFaktúra do not come back. A document edited or deleted directly in SuperFaktúra is not synchronised back to Monokaido.
